Who we are

Polaris Integrations (“we”, “our”). We provide AI assistance services and moderation tools on Discord with the goal of delivering relevant responses and ensuring safe community environments.

#### Data we collect

We collect minimal information necessary to operate our AI, Moderation, and Hosting services.

1\. AI Interaction Data

* Discord User ID & Username
* Messages and prompts sent to the AI
* AI-generated responses

2\. Moderation & Administration Data

* User Information: Discord User ID and Username.
* Infraction History: Records of warnings (warns), mutes, kicks, and bans.
* Administrative Metadata: Reason for action, Moderator ID, and timestamps.

3\. Hosting & SaaS Data (New)

For users of our Automated Bot Hosting, we collect and process:

* Discord Bot Token: The unique credential provided by the User to identify and run the bot.
* Service Configuration: Metadata required to maintain the bot instance on our servers.

#### Purpose of Processing

The collected data is used exclusively to:

* Generate contextual and accurate AI responses.
* Operate Hosting Services: Utilize the provided Token to deploy and maintain the bot instance online on Polaris infrastructure.
* Enforce Server Rules: Track user history to assist moderators.
* Maintain Security: Prevent ban evasion and ensure platform stability.

We do not engage in profiling, nor do we sell or share personal data with third parties for marketing or advertising purposes.

#### Data Storage

Data is stored locally on Polaris Integrations’ private and secured servers (including encrypted files and local databases). Discord Bot Tokens are handled with heightened security measures and are only accessible by the automated deployment systems and authorized technical personnel for maintenance.

#### Data Retention

* AI Data: Retained only for the time strictly necessary to operate the service.
* Moderation Data: Retained as long as necessary to maintain the security history of the server.
* Hosting & Token Data: \* Active Service: The Token and bot configuration are retained for the duration of the active 30-day paid period.
  * Post-Expiration: Once the service expires (due to non-renewal), we retain the data for a grace period of 14 days. After these 14 days, the Token and all associated hosting configurations are permanently deleted from our infrastructure.

#### User Rights & Deletion

In accordance with applicable privacy regulations (e.g., GDPR), you have the right to access, correct, or delete your data.

How to request deletion (/forgetme):

* AI Data: Deleted immediately upon request.
* Hosting Data: Users can request the immediate deletion of their Token and bot instance at any time. However, manually deleting this data while a subscription is active will result in immediate service termination without a refund.

By using Polaris Integrations’ services, including the submission of a Bot Token for hosting, you confirm that you have read, understood, and accepted this Privacy Policy.
